These time suggestions
provide for a  smooth Mitzvah flow.
The following Luncheon and Evening affair times are approximate and still leave loads of room to “ad lib.”  However, if you deviate substantially from the sequence, your party may lack continuity. 

Naturally, if you’d like a different time line, I have no problem delivering the party exactly as you envision it.  But, if you have no strong preferences, what follows works!  

            1:00-   1:45            7:30-   8:15        Hors d’oeuvres
            1:45-   1:50            8:15-   8:20        Guests Seated
            1:50-   2:00            8:20-   8:30        Grand Entrance (optional), Welcome Speech, Motzi/Kiddush
            2:00-   2:45            8:30-   9:15        Entrée (Adults)
            2:00-   2:20            8:30-   8:50        Entrée (Children)
            2:20-   2:45            8:50-   9:15        Children’s Games, Contests & Activities
            2:45-   2:55            9:15-   9:25        Candlelighting Ceremony (and/or Montage)
            2:55-   3:00            9:25-   9:30        Hora
            3:00-   5:00            9:30- 11:30        Non-stop dancing. IT’S PARTY TIME!

Dessert doesn’t have to be served at the end of the meal.  Wait awhile.  Have the caterer present dessert an hour or so before the party concludes.  I never stop the music for dessert.

While we both have the success of your party at heart, allow your caterer to cook and serve a scrumptious meal.  Allow ME to program your affair.  (And I promise to stay out of his kitchen and not insist that he adds more salt & pepper!)

From time to time, problems occur.  The kitchen falls behind schedule throwing the agenda is off, trays are dropped, candles are forgotten for the cake, etc.  One of the intangible benefits of working with me is that I know how to deal with these contingencies quickly and effectively so your party remains seamless and your guests remain unaware of any issues.  (I bring emergency candles!)  But prior to the party, on occasion I’ve worked with caterers who urge (what I perceive as) an inefficient reception.  Invariably, this leads to an uneven performance.  Food is their expertise.  Filling the dance floor is mine.  Here are several examples of disjointed agendas: 

Hors d’oeuvres followed by a dance set prior to the entrée.  Most guests aren’t in a dancing “mood” at this point, so why waste the time with a floor that’s only partially filled?  After your appetizer in a restaurant, the waiter removes that plate and sets down your entrée.  You don’t wait 30 minutes between courses. Your guests will appreciate eating at meal time, then dancing at party time.    
Hors d’oeuvres followed by a dance set, then a seated salad followed by a second dance set, then the entrée followed by a third dance set, interrupted by the Candlelighting Ceremony in the middle of, what should be, continuous dancing.  Having your guests up and seated, repeatedly, is not conducive to optimal flow.  Why would anyone program a party like a yo-yo?
Salad, followed by the Candlelighting Ceremony prior to the meal.  I’m not sure why any caterer would suggest placing the Candlelighting at this juncture because it doesn’t affect the food service one way or the other.  But it certainly affects my presentation.  Personally, I use a Candlelighting Ceremony (or another “transition”) to get from the games segment into the Hora.  Otherwise there’s no logical bridge from the meal to the dancing.
Feeding the kids their main meal at the outset of the party while the adults are having their hors d’oeuvres.  Kids eat quickly so, with this scenario, absolutely nothing flows as the party progresses.  It’s as if I’m working in in the middle of a see-saw.  It becomes a real effort if the party begins so unbalanced.  

These issues are generally the exception to the rule.  Obviously I work with caterers at every party.  I’m familiar with the majority of local venues and on a congenial, first name basis with many of the food and hall managers.  Prior to your arrival, we will have gone over all timing aspects of your affair.  Most will have no problem with my suggested time line (or will have suggested a similar one themselves!)  When you meet with your caterer, be sure to mention that Joe Pachino will be providing the entertainment.  Or just advise them that you want to coordinate the party’s timing with your DJ.  This way, we will all be on the same page...
